Role of the minute takers
In this function you make sure that all content is properly documented (no missing content, nothing duplicated).
Ideally, one person should take on the role of the main minute taker and thus facilitate the minute taking
Main minute taker
- Ensure a good workflow (including a filing system for tasks still to be recorded and for tasks logged).
- Make sure that the minute takers are working on the right questions.
- Pay attention to the quality of the recorded data (spelling).
- Pay attention to a balanced workload.
- Make sure that the handwritten results are available for the discovery phase (poster for museum, handwritten results for library).
- Define proofreading routine (e.g. amassing during disovery, discovery before like - externals can support too)

That's how you go about it
- go to Amassing
- click on Minute Taker
- choose your question
- collect all answers
- Press Enter after each answer and the answer is stored. Do not enter more than one answer before pressing Enter. Continue with the answers.
- In case of pictures: describe them.
- Avoid spelling mistakes, correct spelling, don't change the content!
- Go to Discovery
- Click on Minute Taker
- Enter the title and description of each idea.
- go to Like
- click on Minute Taker
- note the idea number (you can find it at the bottom right of the sheet)
- enter the number of Likes
- save
- take the next idea...
- Add the number of Likes in the discovery tool (manual Likes must be activated in the idea machine)
- go to Idea Selection
- click on Minute Taker
- choose the idea whose result you want to capture
- enter the rating on a scale from 1 to 10
- enter the comments
- save
Tips
Simplify the workflow with your own cycle board (open, doing, done).
Sort the sheets by question number before you start collecting answers.
Expand the scope
Edit the results. If you have time, correct spelling mistakes. :)
In case of...
...terrible handwriting: give the facilitator participant feedback so that he or she can ask the participants to write more beautifully.
...too much work: place a request in the pipeline and inform the facilitator of the organizing team that you need help.
